Meeting documentation

Timely and accurate meeting documentation is an essential part of supporting ongoing action after a meeting. Meeting Magic record all our meetings using large graphic charts, real-time, in the meeting. We then take digital photographs and use specialist software to clean them and produce a single file with all the outputs of the meeting. This can be in participants inbox the day after a meeting, meaning that people have the information they need to follow up actions immediately..

The production of the type of documentation described above is a standard part of our service to clients. Sometimes the nature of the work being done in our meetings means that onward communication after a meeting is an important part of the follow up. This is particularly so when we work with leadership teams, who often need to communicate the decisions they have made to a wider audience. In these types of situations, Meeting Magic can work with clients to develop graphics and storymaps that pull information together in a very visual way, to support onward communication.

Our process

Here are the steps we follow to develop a large graphic with a client:

  • A briefing with the client, detailing what information needs to be communicated and how the final graphic will be used.
  • Draft designs usually in the form of black and white pencil sketches
  • Consultation with the client, to obtain feedback on the proposals
  • Final design of the graphic and approval by the client
  • Final production, we produce the final, colour version of the graphic in the format required by the client. Options include small hardcopies (A4 or A3), wallchart hardcopies (1.25m deep by 3m wide), digital copies (scanned copies of the original hand drawn graphics), vector images ( a digital version of the hand drawn graphic)
  • Printing, we have printing specialists who work with us if you require us to organise printing. Printing can also be done in-house by a client.
